Simple stock-control habits for a small grocery shop

Good stock records start with a repeatable routine. A few focused checks help a shop owner spot shortages early without counting every shelf every day.

1. Count the products that move fastest

Begin with everyday essentials and items that sell out quickly. Count them at a consistent time, such as before opening or after the evening rush.

Use the same units each time. If an item is tracked by piece, do not switch to cartons without converting the quantity.

2. Record stock changes as they happen

When new goods arrive, check the delivery against what was ordered and record the received quantities. Note damaged or missing items separately so the available count stays realistic.

Record waste, returns and corrections instead of silently changing a number. A short note makes later differences easier to explain.

3. Treat low-stock alerts as a prompt to verify

An alert is a reminder to check the shelf and back room, not a substitute for a physical count. Replenish based on the real quantity and how quickly the item normally sells.

Review frequently used products more often than slow-moving items, and adjust the routine around seasonal demand.

4. Review the pattern each week

Look at which products sell most and where stock differences keep appearing. Use that information to improve the next order and the counting routine.

DakkanPro can record stock movements and show low-stock alerts, helping keep product records close to what is on the shelf.
